Accounts Payable Coordinator

Job Scope:

We are currently looking for a highly driven and organized Accounts Payable Coordinator to join our Finance team on a one (1) year contract. The Coordinator will work closely with the Accounts Payable Supervisor to ensure the full AP cycle is completed each month. You will be responsible for a variety of tasks including invoice entry, payment run processing, audits, manual filling, and special projects as required. If you can manage 100-150 invoices per day, meet deadlines, and are able to analyze data and make logical decisions, this may be the opportunity for you!

Key Responsibilities:

  • Full cycle Accounts Payable, including receive, match, verify and post payable invoices/expenses to ERP system and prepare cheques for mailing and EFT file for upload to the bank, in compliance with financial policies and reporting deadlines
  • Reconcile accounts, ensure orders are received and invoiced accurately, and resolve account discrepancies with vendors on a timely basis
  • Review and accurately disseminate all correspondence received via the AP inbox
  • Record monthly accruals
  • Assist with general ledger reconciliation and general journal postings
  • Maintain and file documentation, which include invoices, receipts, vendor banking information, vendor credit applications and other documents as required
  • Analyze and reconcile vendor statements and manage vendor aging
  • Continuously maintaining accurate filing and record systems
  • Undertake other duties or ad hoc projects as required
Due to COVID restrictions, the ideal candidate will be required to work from the Orbitor office 1-2 days per week.  The remaining days of the week will be based from home.

Qualifications:

  • College diploma or university degree in the field of accounting
  • 3 years prior accounts payable experience in a high-volume manual environment
  • Knowledge of Accounts Payable best practices, standard concepts, policies and procedures
  • Knowledge of relevant legislation and regulatory requirements, and experience in compliance and year-end audits.
  • Superior working knowledge of Microsoft Office Suite (Excel, Outlook, etc.)
  • Previous ERP system experience, Microsoft Dynamics will be considered an asset

Job Scope:

The UHT (Ultra High Temperature) Machine Operator oversees the optimal functioning of the UHT while also monitoring the accurate data recording aspects of this sophisticated processing equipment, which is one of the hubs of our 24/7 fluid milk processing food operation equipment. Key Responsibilities:

  • Operates UHT Machine in the processing department
  • Ensure integrity of seal, product and weight
  • Lead order run and verify quantity
  • Monitor and perform routine checks of systems to ensure lines are running smoothly

Qualifications:

  • The ideal candidate must have a minimum of secondary school diploma and/or relevant dairy experience
  • Minimum 2 years’ experience in a regulated dairy or food manufacturing environment
  • Knowledge of Good Manufacturing Practices (GMPs), including excellent sanitary habits, Clean in Place (CIP) systems and possess knowledge of Hazard Analysis Critical Control Points (HACCP)

Job Scope:

Reporting to the Supply Chain Planning Manager, this position is responsible for planning the volume of production at our Guelph facility to meet our customers demand. Candidates for this full-time position are required with the following qualifications and will perform the duties listed below.

Key Responsibilities:

  • Plan and prepare production schedules for the manufacture of products by SKU.
  • Draw up master schedule to establish sequence and lead time of each operation.
  • Meet shipping dates according to sales forecasts or customer orders.
  • Utilize production specifications and plant capacity data to plan require production volumes while maximizing efficiencies in the plants.
  • Communicate with the demand forecaster, customer service, distribution, sales and marketing staff and some customers to best determine customer’s demand and schedule production to meet the demand.
  • Utilize the Warehouse Management System to determine inventory levels, demand forecast, shelf life of product and shipping information to assist in the calculation of production volumes.
  • Manage inventory volumes to provide the best possible shelf life to our customers.
  • Confer with plant supervisors to determine status of production.
  • Expedite operations that delay schedules and alter schedules accordingly to meet unforeseen conditions.
  • Communicate production schedules to procurement and warehousing to ensure sufficient packaging and raw materials are available for future production.
  • (May) prepare purchase orders to obtain such products that are co-packaged by other manufactures for Gay Lea Foods.
  • Occasional travel to our Guelph and Teeswater plants may be required.

Qualifications:

  • 3+ years’ experience in production control, planning, inventory control and/or materials in a fast-paced manufacturing environment.
  • Post-secondary education with a Supply Chain focus or equivalent experience.
  • Proficient in Supply Chain concepts (safety stock planning, MRP calculations, scheduling constraints and bottlenecks, etc.).
  • Advanced knowledge of Microsoft office applications (Excel).
  • Lean/Six Sigma, Continuous Improvement or equivalent experience.
  • Experience with JDA software or Microsoft Dynamics AX are considered great assets.

Reporting to the Production Supervisor, the scope of this position involves the receiving of raw milk from plants and/or farms to the Teeswater processing facility in a safe and timely manner. Other responsibilities include loading and offloading trucks and other duties as assigned by management.

  • Conduct Clean in Place (CIP) and sanitize the tanks, silos and line circuits including housekeeping of the milk receiving and blending area
